How to use AUK Maps

A plain-English walkthrough for field teams and office owners. Find your assigned area, walk your patch, mark postcodes as worked, and export a map — on a phone, tablet or computer.

1. Getting started

AUK Maps plots UK postal sectors on a Google map and colour-codes them into groups, so an office can hand out territories to its leaders and team members. Before you can do anything you need an account.

  • Access is invite-only. If you don't have an account yet, ask your office administrator — they add people from the Office users tab.
  • Your account is tied to your email address. When you're first set up you'll sign in with a one-time password (the office default is Appco2026#). Change it the first time you sign in.
  • If you forget your password, use the “Forgot password” link on the sign-in screen to reset it.

Good to know: Roles in plain English: System admin → Office owner → Team leader → Team member. Each level only sees what it needs to.

2. Who's who — the four roles

What you can do in AUK Maps depends on your role. Here's what each one means.

  • System admin: Runs the whole workspace — uploads sectors, manages offices and audit.
  • Office owner: Looks after one office: assigns sectors to leaders, manages the office user list, exports PDFs.
  • Team leader (Sector leader): Given a sector to work, splits it into patches and allocates them to team members.
  • Team member: Walks the patch a leader allocated — sees only their own area and marks postcodes as worked.

4. The map — satellite, search and zoom

The map opens in satellite view with street names turned on, so you can see gardens and buildings as well as roads. From here you find your area and zoom in to street level.

    Satellite is the default. Tap “Map” to switch to a plain road map if the satellite view is too busy.

    Use the search box to find a postal sector, an area name, a council or a village.

    Jump to an area fast.

    Pinch to zoom in (two fingers on a phone, scroll wheel on a computer). Drag to pan around.

    The colour Key shows what each group colour means — red, purple, and the darker groups.

    Stay oriented.

5. Viewing your assigned area

You don't have to hunt for your patch on the map. The My tasks tab lists exactly what's been allocated to you.

    Tap My tasks. Each card shows a sector, the patch label, and a green progress bar of postcodes already worked.

    See your workload.

    Tap a task card — the map opens already zoomed in to that patch, so you can see exactly where to walk.

    Open it on the map.

    Team members only ever see their own allocated patch — nothing else from the list.

    Privacy.

6. Selecting a village or sector

The quickest way to build a patch is to pick whole villages rather than draw every street by hand.

    Open a sector, then tap a village pill in the list. Every postcode in that village is selected on the map.

    Pick a village.

    Tap more pills to combine two or three villages into one patch.

    Combine a few.

    Use tap-to-select: tap individual postcode areas straight on the map to build your selection piece by piece, instead of using village pills.

    A card slides up showing the postcodes and the household total for what you picked.

    Check the total.

    If your office added sector information when uploading, it shows in red next to the sector code on the map and in the list.

    Watch for red notes.

    If you close it by accident, tap the “Selected area” button to bring it straight back.

7. Drawing an area by hand

Use Draw area when a village includes streets you don't want, or you need a custom shape that doesn't follow village boundaries.

    Tap “Draw area” on the selection card (or from the top toolbar in full-map mode).

    Start drawing.

    Tap points around the streets you want to include. The shape fills in as you go.

    Outline your patch.

  3. 3

    Tap Finish to save the shape. Tap Cancel to keep your village selection as it was.

    Lock it in.

Good to know: Drawing works on phones, tablets and computers, and stays available in full-map view.

8. Marking areas as worked

As you walk a patch, mark each postcode area once it's done. The area turns green so the whole team can see what's been covered and what's left.

    Tap “Mark worked”. The map is now ready to accept taps.

    Turn marking on.

    Tap a postcode area. It turns green straight away and saves automatically.

    Mark a postcode.

  3. 3

    Tap a green area again to un-mark it.

    Undo a mistake.

  4. 4

    Tap “Done marking” when you're finished so you can pan the map again.

    Turn marking off.

Good to know: Worked marks reset automatically when a rotation period ends, so a fresh sector starts clean. The “Rotation ended” badge still shows the last charity and how many were worked before.

9. Allocating to team members (leaders & owners)

Team leaders and office owners split a sector into walkable patches and hand them out. You can allocate to more than one person and the tool arranges postcodes in close proximity for a sensible route.

    Select an area, then choose “Allocate to member”.

    Split the patch.

    With a sector selected, tap “👥 Allocate whole sector” in the top toolbar to hand the entire sector to one member in a single step — no splitting needed.

    Choose one or more team members. Each gets a list of postcodes in close proximity to walk.

    Pick people.

  4. 4

    A shareable link is created for each member — no login needed, they just open it.

    Send them out.

10. Plan ahead (owners & admins)

Plan ahead lets office owners and admins scout sectors before they're allocated — anywhere in the country, not just this month's list.

    Tap Plan ahead in the sidebar (admins and office owners only).

    Open it.

    Type a postal sector, area name, council or village to look it up.

    Search.

  3. 3

    Each result shows the household count, the number of postcodes, and a breakdown of Group 1–5 doors.

    Size it up.

  4. 4

    The allocation status tells you whether the sector is free or still assigned to another team.

    Check availability.

12. Exporting a PDF

System admins and office owners can export a zoomed-in PDF of a patch — handy for printing or handing to someone without a phone.

    Select the area you want on the map (village selection or drawn area).

    Pick the patch.

  2. 2

    Tap “Export PDF”. The map zooms close into the area so the streets are readable.

    Export.

  3. 3

    The PDF has the zoomed map, the postcode list, the total households and the full assignment history.

    Use the Share option to save the file or send it to whoever is walking the area.

Good to know: Export is only available to admins and office owners. Team leaders and members don't see the button.

13. Office users (owners & admins)

Each office keeps its own user list. Office owners and admins are responsible for keeping it up to date as people join and leave.

    Open Office users to see team leaders and members in your office and their roles.

    See everyone.

    Use the role menu to make someone a team leader or team member.

    Set a role.

    Use Revoke access to switch them off, or Deactivate to pause them temporarily.

    Use Force password reset to send someone back to the one-time password.

14. Admin (system admins)

The Admin tab is where the workspace is run: getting sectors in, setting the month's allocation, and watching the audit trail.

    Upload an Excel file of postal sectors (use the template — it includes households, grouping, council and area). Sectors not yet boundary-mapped are flagged.

    Get sectors in.

    The upload template has a Sector information column — anything you put there shows in red next to the sector code on the map, so important warnings are hard to miss.

    On the Monthly sectors tab, assign sectors to an office for a given month.

    Set the month.

    The Audit tab shows the latest actions — worked marks, assignments and logins. Tap “View more” to expand beyond the first five.

    Office address, backup retention and audit-log retention live under the Manage / Compliance settings.

15. Tips & troubleshooting

A few things that catch people out in the field.

  1. 1

    It's probably still assigned to another team until its rotation period expires. Check the Assigned tab — once the rotation ends it returns to Available with a “Rotation ended” badge showing the last worked information.

    A sector you expect isn't in Available?

  2. 2

    This is usually weak signal. Move to a spot with better data and the map will catch up. Results are cached, so the second visit is faster.

    Map won't load / geocoding slow.

  3. 3

    Your browser needs location permission. Allow it when asked; if you said no, enable it in your browser or phone settings.

    GPS dot missing.

  4. 4

    If a button (Draw area, Export PDF, Mark worked) is missing, it's because your role doesn't have it. Ask your office owner.

    Can't see a tool.

  5. 5

    Access is invite-only. Ask your office administrator to add your email to the office list.

    No account?

  6. 6

    On the map, tap the “?” pill to replay the short in-app walkthrough: village → selection card → Draw area → Export PDF.
